The problem

The organisation was using a combination of the financial software and spreadsheets to calculate and maintain a system whereby they could monitor and integrate individual job to ensure the required gross margin was being achieved.

The method

Firstly the required solution was defined. This was a job costing system that could be implemented and maintained within the current staffing number and with minimal capital expenditure.

Once the solution was mapped, the current systems were investigated to establish if they could fulfil the brief. Initial findings were positive and time was spent testing on a separate system to ensure the results could be achieved.

Following the system review, staff were trained and reports written which met with requirements of the project. For the next few months the results were monitored until the organisation was confident of the system and the results it was producing.

The outcome

• Job costing reports are generated on demand directly from the finance system
• Manual spreadsheets are not longer required
• Managers can access job costing without the need to rely on finance department
• Increase in accuracy and timeliness leading to improved decision making.
